#WeAreInternational Awards - Terms and Conditions

The #WeAreInternational Awards are organised by the UK Council for International Student Affairs (UKCISA) to recognise outstanding contributions that support and champion international students in the UK.

By submitting a nomination for the #WeAreInternational Awards, nominators and nominees agree to the following terms and conditions.

1. Eligibility

Nominations must meet the eligibility criteria set out in the Awards guidance for the relevant year and category. Nominators are responsible for ensuring that nominees meet the eligibility requirements before submitting a nomination. UKCISA reserves the right to determine the eligibility of any nomination and to disqualify entries that do not meet the criteria.

2. Submission of nominations

All information submitted as part of a nomination must be accurate and truthful to the best of the nominator’s knowledge. By submitting a nomination, nominators confirm that they have obtained the consent of the nominee for their information to be shared with UKCISA for the purposes of the Awards. UKCISA reserves the right to request additional information or clarification in support of any nomination.

3. Judging process

All eligible nominations will be reviewed by an independent judging panel appointed by UKCISA. Judges will assess nominations against the published criteria for each award category. UKCISA reserves the right to review the category in which a nomination has been submitted and, where it considers that a nomination may also be suitable for another award category, to invite the nominator and/or the nominee to have the nomination considered in that category. With their agreement, UKCISA may transfer or duplicate the existing nomination into another category without requiring a separate submission. Any such nomination will remain subject to the eligibility requirements and judging criteria of the relevant category.

The decision of the judging panel is final and no correspondence will be entered into regarding the outcome of the judging process.

4. Verification of information

UKCISA reserves the right to verify the accuracy of any information provided in a nomination. If any information provided is found to be false, misleading, or significantly inaccurate, UKCISA reserves the right to disqualify the nomination at any stage of the Awards process.

5. Conduct and reputation

Finalists and winners of the #WeAreInternational Awards are expected to uphold the spirit and values of the Awards. UKCISA reserves the right to review a nomination, finalist status, or award if information comes to light that could reasonably bring the Awards or UKCISA into disrepute.

6. Withdrawal of awards

In exceptional circumstances, UKCISA reserves the right to withdraw an award, finalist status, or public recognition where credible concerns arise relating to:

the accuracy of the information provided in a nomination
the conduct of a finalist or award recipient
any issue that may reasonably damage the reputation or integrity of the Awards or UKCISA.

Any such decision will be made at the discretion of UKCISA.

7. Publicity and communications

By participating in the Awards, nominees and nominators agree that UKCISA may use information from the nomination, including names, quotes, photographs, or videos, for the purposes of promoting the #WeAreInternational Awards and the work of UKCISA. UKCISA will take reasonable care to ensure that any information used publicly is accurate and appropriately presented.

8. Data protection

Personal data submitted as part of the Awards process will be handled in accordance with UKCISA’s Privacy Policy. Information provided will only be used for the purposes of administering the Awards and related communications.

9. Amendments

UKCISA reserves the right to amend these Terms and Conditions at any time where necessary to ensure the fair and effective operation of the Awards.

Ticket Terms and Conditions

These Terms and Conditions (‘Terms’) apply to all purchases of tickets for the UKCISA Awards (the ‘Event’). By purchasing a ticket, you agree to be bound by these Terms.

1. Definitions

‘Ticket’ means a valid ticket granting entry to the in‑person Event.

‘Attendee’ means the individual attending the Event using the Ticket. ‘You’ means the person purchasing the Ticket or anyone acting on their behalf with permission.

‘UKCISA’ means the UK Council for International Student Affairs.

2. Ticket Purchase

Each Ticket admits one Attendee and provides access to all activities and hospitality included within the Event programme.

3. Accessibility and Special Requirements

If you require adjustments to access the Event, please contact UKCISA before purchasing a Ticket. UKCISA will make reasonable efforts to accommodate needs.

4. Refunds, Cancellations, and Event Changes

Tickets are non-refundable unless a cancellation request is received at least four weeks before the Event start date.

If UKCISA cannot hold the Event on the scheduled date, it may be rescheduled and all Tickets will transfer to the new date.

If you cannot attend the rescheduled date, please contact UKCISA to discuss available options.

5. Ticket Transfers

Tickets may be transferred by contacting awards@ukcisa.org.uk at least 10 working days before the Event.

6. Liability

UKCISA is not responsible for loss, damage, or disappointment arising from attendance, except where this cannot be excluded under UK law. Nothing limits UKCISA’s liability for negligence causing death or personal injury.

7. Ticket Use and Admission

Tickets are personal, revocable licences and remain UKCISA’s property. Tickets obtained or used in breach of these Terms may be cancelled.

8. Commercial Use

Tickets must not be resold or used as part of promotional packages, competitions, or incentives.

9. Sharing of Contact Details

By purchasing a Ticket, you consent to UKCISA sharing your contact details with Event sponsors for marketing purposes. You may withdraw this consent at any time.

10. Photography and Recording

By attending the Event, you agree that your image may be captured and used by UKCISA for promotional or archival purposes. If you prefer not to appear in such materials, please inform staff on arrival.

11. Code of Conduct

By purchasing a Ticket, you agree to follow the Event Code of Conduct. UKCISA may refuse entry to anyone whose behaviour breaches the Code.

12. Data Protection

UKCISA acts as a Data Controller under UK GDPR. Details of data use are available in UKCISA’s Privacy Policy.

13. Separability

If any part of these Terms is found invalid, the remainder will continue in full force.

14. Third‑Party Rights

No third party has rights to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.

15. Governing Law

These Terms are governed by the laws of England and Wales.
